Seedan Group handles sensitive client information — including PAN, Aadhaar, financial records, business documents, and other personal or commercially sensitive data — as part of delivering our registration, tax, and compliance services. This Confidentiality Policy explains how we protect that information. This policy works alongside our Privacy Policy and Terms and Conditions; where there is any overlap, this policy specifically addresses how confidential information is handled internally and by anyone we engage on your behalf.
1. What We Treat as Confidential Information
Confidential information includes, but is not limited to:
- Government-issued identification (PAN, Aadhaar, passport, voter ID);
- Financial information (bank statements, income details, tax records);
- Business documents (incorporation certificates, deeds, agreements, board resolutions);
- Employee and payroll data, where applicable to services like HR & Payroll or PF/ESI filing; and
- Any other information you designate or that would reasonably be understood as confidential or commercially sensitive.
2. How We Protect Confidential Information
- Restricted access: Only team members directly involved in delivering your specific service have access to your documents and information.
- Secure storage: Documents are stored using access-controlled systems, with physical documents (where applicable) kept in secure, restricted locations.
- Secure transmission: We use secure channels for receiving and transmitting sensitive documents wherever practicable.
- Confidentiality obligations on staff and partners: All employees, and any external Chartered Accountants, Company Secretaries, or professionals we engage on your behalf, are bound by confidentiality obligations regarding client information.
3. Purpose Limitation
We use your confidential information only for the purpose of delivering the specific service you have engaged us for — preparing and filing your application, responding to a notice, managing your ongoing compliance, or a similar defined purpose. We do not use your confidential information for any unrelated purpose without your explicit consent.
4. Disclosure to Third Parties
We disclose confidential information only:
- To the relevant government authority, as necessary to complete your filing or application;
- To professional partners (CAs, CS, legal counsel) directly engaged in delivering your service;
- Where required by law, court order, or lawful government request; and
- With your explicit consent, for any other purpose.
We do not sell, rent, or otherwise commercially exploit your confidential information.
5. Retention and Disposal
We retain confidential information only for as long as necessary to:
- Complete the engaged service;
- Meet statutory retention requirements applicable to business, tax, and compliance records under Indian law; and
- Handle any follow-up matters (renewals, notices, amendments) reasonably connected to the original service.
Once retention obligations end, documents and data are disposed of or deleted securely.
6. Your Responsibilities
You agree to:
- Provide only information and documents you are legally authorized to share;
- Notify us promptly if you believe any of your confidential information has been compromised; and
- Keep any credentials or access details we provide to you (e.g., for tracking your application) secure on your end.
7. Confidentiality After Service Completion
Our confidentiality obligations continue even after your engagement with us has ended — we do not consider a completed filing or closed engagement as grounds to handle your historical information any less carefully than during active work.
8. Breach Notification
In the event of a confirmed data breach involving your confidential information, we will notify you within a reasonable timeframe and in accordance with applicable law, including any notification obligations under India's Digital Personal Data Protection Act, 2023.
9. Changes to This Policy
We may update this Confidentiality Policy from time to time. The updated version will be posted on this page with a revised "Last Updated" date.
